OVERVIEW
DLR Studio’s equipment, cameras, lenses, lighting, kits, moved between team members every week, and the record of who had what lived in a shared spreadsheet. Kairologic designed and deployed GearHub: a checkout system with a web front end for browsing and requesting gear, a reservation calendar, an email approval step for the studio manager, and automatic notifications to borrowers, all running on the studio’s own Google Workspace, so the studio owns its data outright.

CHALLENGES
The spreadsheet depended on everyone updating it, which meant it was always slightly wrong. There was no reservation view, so double-bookings surfaced on shoot day. When something didn't come back, the answer to “who had it last?” was an archaeology project. And the whole record lived one accidental deletion away from gone.
